Location: Hamilton Area Office, Brandongate, 1 Leechlee Road, Hamilton

Fixed Term: 1 year

The post holder will require to provide an effective minute taking service Adult and Older People’s services and Children and Justice Services.

The tasks involved in this role are as follows:

  • liaise with internal and external contacts/customers
  • check availability of attendees
  • arranging meetings including booking venue via Microsoft Outlook package
  • distributing invitation letters and minutes to all relevant parties
  • collating relevant paperwork required for the meeting, which may include reports from relevant Social Worker, police, NHS staff etc and distributing to attendees prior to meeting
  • setting up room
  • ensuring laptop is available to produce minute
  • where the meeting has been arranged outwith council premises i.e. hospital, care home, secure unit, children’s unit, family/carers home, laptop and relevant paperwork must be pre-prepared and ready for transport for use
  • meet and greet service users arriving for the meeting
  • provide minute taking service typing direct on to agreed templates ensuring accuracy and corporate standards are applied. To meet legislative requirements an accurate minute must be produced within an agreed timescale, signed by the Chairperson and distributed immediately to ensure outcomes and actions are taken forward timeously
  • save and update all service user information via the online electronic case recording system
  • if relevant arrange follow on meetings within the recommended timescales
  • produce and disseminate appropriate Child and Adult Protection Planning Paperwork within identified timescales ensuring adherence to the confidential handling of personal information in accordance with council policy and the Data Protection Act
  • maintaining South Lanarkshire Council’s Child Protection Register
  • updating performance indicators for statistical reporting returns

The types of minutes will include Child Protection and Adult Support and Protection. These meetings can be a forum to discuss some very sensitive issues and the nature of the discussions can be quite distressing.  It is therefore imperative that staff are aware and consider this. 

Please note that this position is temporary until 31/12/2018.  Internal applicants are advised prior to making your application, please discuss your potential application with your current Line Manager.  In the event that you are being considered for this post, your release to undertake this internal fixed term opportunity would need to be agreed in advance and managed by the service/s or resource/s.
